How to move around your calendar and change or delete an event

The My calendar tab of Agenda brings together, in a single calendar, your meetings (as a soft green card) and the events from your connected calendars (in the color you've chosen for each calendar). It is always personal: you only see your own.

Week or month

At the top there is a Week / Month switch. It opens in week view by default. With the arrows you move from one week (or month) to another, and with Today you go back to the current date.

The gear button (Calendar options) has the Hide weekends checkbox, to see Monday to Friday only.

Opening an event

Click an event to open its detail page. There you see when it is, where, which calendar it belongs to, and its description. If it has a video call, you'll see the Join the video call button, and you can always open it in Google Calendar (or in Outlook, if your account has it enabled).

Changing the day

There are two ways:

  • Drag it to another day in the calendar. This works for both events and meetings, and it only changes the day: the time stays the same.
  • Change the date from its detail page. It is saved as soon as you pick it.

Changing the time or the title

On an event's detail page:

  1. Change the start time and the end time.
  2. Click Save time. It isn't saved automatically as you type, so you can fill in both times calmly. The end time has to be after the start time.

For the title, type the new one and click Save title. All-day events have no time to change.

Deleting an event

At the bottom of the detail page click Delete event. WorkOS asks you to confirm: the event is also removed from your connected calendar (Google Calendar or Outlook) and the guests are notified.

If a change isn't saved

When you drag an event or change its date, the calendar moves it instantly. If the change can't be saved (for example, because of a connection problem), WorkOS lets you know and the event goes back to where it was.

Tip: to choose which calendars are shown and in which color, go to Settings → Integrations and look for Calendars for this account.

Themed days

The Calendar options gear also lets you organize your week by themes. Create your themes (name and color) and, for each day, choose No theme, Full day or Split (one theme until a given hour and another afterwards). A switch above the calendar shows or hides the themes, and below the calendar there is a legend with each theme's color. They are personal: each person sees their own, and they don't move anything in your agenda.

  • In the week view, each day is split into colored blocks. Each block holds the timed events (by start time) and the tasks linked to that theme. Outside the blocks, at the end of the day and in this order: all-day events, meetings and tasks without a theme.
  • In the month view of Tasks and of the Agenda's My calendar, each day is also split into theme blocks, like the week: the tasks linked to a theme go inside its block (with its + button) and, in the Agenda, the timed events of its slot; you can drag a task onto a theme. Everything else (all-day events, meetings and tasks without a theme) goes below. (In a project's calendar, the month cell still takes the theme's tone.)
  • On mobile (Tasks calendar, week and month), each day with themes shows one block per theme with its name, its slot and its + button: the new task is created on that day with that theme. Linked tasks appear inside their block and tasks without a theme below. Besides the days with tasks, days with themes from today on are listed, so you can add to them even when empty. There is no dragging on mobile.

Tasks on a theme

Each theme block also has a + button in its corner that opens "New task" with that day and theme already selected (in the Agenda week view and in the Tasks week view, My tasks scope).

When you create a task with a date, the form shows Theme of the day with that day's themes (if there is only one it comes pre-selected; you can also leave it as No theme). When you open a task with a date, the same selector is in its panel, where the end date used to be (now in the time records tab).

You can drag a task onto a theme to link it. If you drag a task that already has a theme to another day, it moves to that day's theme when there is only one; if there are several or none, it is unlinked. Links are personal.

If a theme is linked to a single project, choosing that theme when creating a task (in the dialog or with the "+" of its block) fills in the project automatically; if you change it by hand, your choice is kept. With several projects none is assigned, but in the project dropdown the theme's projects and their subprojects come first, with a bluish background, and the rest below.

Projects on a theme

When editing a theme you can attach one or more projects. For now they are only saved.

Your tasks in the calendar

The Agenda calendar also shows your incomplete tasks with a date (those in My tasks; not completed or discarded ones). Click one to open it, or drag it to another day or onto a theme. If the task's project has a linked company, its name appears in green under the title, just like in the Tasks calendar. If a task is linked to a calendar event with a time, you see the event's start time on the task and it is sorted by it within the day. The eye button (next to the gear) shows or hides your completed tasks on the calendar; they are hidden by default, appear dimmed, and your choice is remembered in this browser.

Tasks created from a calendar

If a connected calendar is marked "Creates task", its events create tasks automatically. Those tasks are born with the Task type chosen for calendar events (in the Agenda settings) and with the status that matches their date (for example, the "today" one if the event is today), just like a task created by hand. Those tasks are linked on their own to the day's theme according to the event's time (one theme until the cut-off hour and another afterwards, or the day's only theme). All-day events are not linked to any theme. If the event moves to another day, the task keeps its theme as long as it is still one of that day's themes.

Next week on weekends

If your account has it enabled, on Saturdays and Sundays the calendars in week view open on the next week (the one starting on Monday), since weekends are usually not working days. The Today button always takes you to the current week. Your account administrator turns this on.

"No date" column

The button with the crossed-out calendar icon (next to the gear) shows or hides, to the right of the calendar, a column with your tasks without a date. Drag them to a day to schedule them; you can filter them by status and by project. It starts hidden and your browser remembers your choice. On mobile it appears below the calendar; tap a task to open it and set a date.

In a project's calendar

Themed days also show in a project's Calendar tab, just like in Tasks: toggle, color on month cells, theme blocks in the week (with their + button), legend, and dragging a task onto a theme. They work with the My tasks scope. The project's meetings and tasks without a theme go below the blocks. Themed days are configured from Tasks or the Agenda, not from the project calendar.

Creating from the «+» of My calendar

In the My calendar view, the + button opens «Create new record» with four options: Event by voice, Manual event, Task by voice and Manual task (the task ones are the same as in Tasks). The Events tab keeps only the two event options. Created tasks show up in the calendar right away.
