How to share a document with a client
Sharing a document means giving someone access to the Client portal, the site where they view, download and approve the document without signing into WorkOS.
Open the panel
On the document page, click the Share with client icon. You won't see it if you only have read permission on that document. Opening the panel doesn't send anything: it just activates the link.
What's in the panel
- Portal link: with the Copy button you can paste it wherever you want, for example in a message.
- Linked via project or service: contacts who already have access because they are linked to the document's project. Each one has a Send email button, which sends them the link.
- Other contacts: contacts linked directly to the document. With Add contact you pick them from your CRM, and you can remove them whenever you want. This section only appears if your administrator has set up that relation. For these people, send them the copied link yourself.
Click a contact's name to open their page.
Who has access
People who can enter the portal are the contacts linked to the project or directly to the document, and the people on your team who are its Owner or a Participant. Each person needs an email on their record.
What the client gets
The email contains only the link. The person requests the access code themselves inside the portal. They can view the document, download the PDF and, if the type requires it, approve it.
After approval
Approval leaves a stamp at the end of the document, visible in the portal and in the PDF. The document's Status changes on its own only if your administrator has set up an approved status.
Common problems
- "This document doesn't have any contact with access yet": link the contact to the document's project or, if it appears, add them under Other contacts.
- If your client doesn't receive the code, ask them to check their spam folder and to use the same email they received the link at.
