Setting up a note: topics, who sees it and attachments

Besides its content, every note in the Digital Garden has a Settings tab and an Attachments tab. Tabs are shown as icons: hover over one to see its name. Each field only appears if your account has it set up.

Topics and Main topic

In Settings, the Topics section shows the note's topics as chips. With Add topic you search and choose among the ones that already exist.

If the note has several, the Main topic selector lets you choose which one takes priority. In the list, each note appears in a single group: the one for its Main topic or, if it has none, the one for its first topic in alphabetical order. Notes with no topic at all go under "No topic". If your account connects Google Drive, the Main topic also decides which folder its attachments are saved in.

Project or service

With the Project or service field you link the note to a project. It will show up in that project's Notes tab.

Who can see and edit the note

  • Shared — next to the title you'll see a label: Shared, Restricted or Not restricted. Click it to turn Shared mode on or off; it makes the note visible to the whole team.
  • Team — with Add member you choose which other people can see the note.
  • Owner — read-only. If your account uses this property, only the note's Owner and its Members can edit it; everyone else can only view it.

WorkOS won't let you leave a note with nobody able to see it: you can't turn off Shared if there isn't at least one member, and you can't remove the last member if the note isn't marked as Shared.

Favorites

The Mark as favorite button in the header makes the note appear first within its group.

Attachments

In the Attachments tab you drag a file or click to upload it (images, video, PDF, Word, Excel, PowerPoint, ODF and ZIP). You can rename each file or remove it; removing it also deletes it from Notion.

Tip: to see only the notes of one topic, use the All topics filter above the list, or See all → in its group.
