How to create a document and link it to a project or company
A document is a proposal, a contract, a report... with its own content, type and status. You can create it from several places and link it to whatever it belongs to.
Create a document from Documents
- Go to Documents and click New document.
- Type the document Name.
- Choose the Type and the Status. They only appear if your administrator has set them up.
- If you like, choose the Project or service it belongs to. This is optional.
- Click Create document.
If your account uses Team, you become the document's Owner. Only the current Owner can hand it over to someone else, with the Change button.
Create a document from a company or a contact
On a company's page, open the Documents tab and click + New document. If your administrator has set up the direct link between documents and companies, the document is created already linked to that company and choosing a project is optional. If not, you first choose (or create) one of that company's projects or services and the document is linked through it. On a contact's page you can do the same from its Documents tab, but only if your administrator has set up the direct link with contacts.
Link it afterwards
Open the document and go to the Settings tab:
- Project or service: change it whenever you want. The Go to project or service button takes you to its page.
- Company: link it, change it or remove it. If you pick a project that already has a client company, the document inherits that company, as long as it didn't already have one.
- Participants: other people on your team who can edit it. Add them with Add participant and remove them freely.
Some of these fields only appear if your administrator has set them up.
Who can edit
If your account uses Owner and Participants in Documents, only those people can edit a document. Everyone else sees it read-only, with a notice at the top. Sharing the document with a client is a different thing: see the article "How to share a document with a client".
Delete a document
If you are the document's Owner, you will see the Delete document icon in the header of the page. It asks you to confirm and the document is archived in Notion.
Tip: you can change the title straight from the header of the document, by typing over it.
