How to create a task by hand, by voice or from an email
You can create a task in several ways: pick whichever suits you best each time.
By hand
- In Tasks, click New task and choose Manual.
- Type the Title ("What needs to be done?").
- If you want, set a Date and choose the Assignee: by default it's you.
- If your account links tasks to projects, you can also choose the Project or service. It's optional.
- Click Create task.
The task appears instantly in its place, without reloading the list. Depending on the date you set, it may be placed automatically in the status that fits it (the article on statuses and dates explains this).
With the "+" of each group, column or day
It's the quickest way to create it right where you want it:
- In Pending and Kanban, the "+" of a status creates the task in that status, and the dialog tells you ("It will be created in…"). The "In progress" status has no "+": a task gets there when you start its timer or move it to that status.
- In Calendar, the "+" of each day creates the task with that date.
- There are also "+" buttons on Home and in the tasks tab of a project's detail view, where the task is already linked to that project.
By voice
- Click New task and choose By voice: Kairos opens.
- Tap to record, tell it the task (or several in a row) and tap to finish.
- Processing continues in the background, so you can keep recording. When it finishes you'll see "Created N tasks" and a button to view them.
If you give details (context, steps…), they're saved in the task's content. In Agent Mode you can also ask Kairos to create a task; it always asks you to confirm first.
From an email
When Inbox detects that an email is asking you for something, a Proposed task appears below the message. You can tweak its title, add a date and click Accept and create task, or Discard to ignore it. Nothing is created until you accept it.
Tip: if your account has it turned on, some tasks appear on their own, for example those coming from a meeting. If you don't recognize a task, open its detail: if it comes from an email, you'll see the Linked message tab.
