If a document was shared with you from WorkOS: approve or sign it
Some documents, such as a contract or a proposal, ask for your agreement. In WorkOS you give that agreement with the approve button.
How to know if they're asking you to approve it
If the document requires it, you'll see the notice "This document requires your approval and is still pending completion" and the I approve this document button. On a phone it's in the bottom bar. If you don't see it, you'll see "No action is available for this document": it doesn't need your approval.
How to approve it
- Read the whole document.
- Click I approve this document.
- Fill in Full name and ID number (national ID/passport). Your Email is already filled in and can't be changed: it's the one you verified with the code.
- Tick I have read and approve this document.
- If the company has defined terms and conditions, also tick I accept the legal terms and conditions. Click the link to read them without leaving the portal.
- Click Approve.
If something is missing, you'll see "Fill in all fields and accept the agreement."
What gets recorded
Your approval is saved with your name, your ID number (stored encrypted), your verified email, the date and time, the IP address and the browser you approved from and, if there are terms, which ones you accepted.
Also, a stamp is added at the end of the document with who approved it, when, and a verification reference. You'll see it in the PDF too. The stamp does not show your ID number or your email; only the internal record keeps those.
After approving you'll see "Document approved" and the label changes to Approved.
What it is and what it isn't
It's an electronic approval: it records who gave their agreement and when. It isn't a digital signature with a certificate.
After approving
- If the document type has a payment attached, you'll see "Payment to be coordinated with the team". Payment isn't made in the portal: you arrange it with the company.
- To correct a piece of data that's already recorded, write to the company that sent you the document.
