How to edit the content of a document

When you open a document you'll see tabs with icons: Content, Settings and, if your administrator has set up attachments, Attachments. The content is shown as is until you decide to edit it.

Edit the content

  1. Click Edit.
  2. Click a paragraph, heading, list, toggle, callout or table: the formatting bar appears next to it.
  3. When you're done, click Save. Cancel discards your changes.

While you edit, the Settings and Attachments tabs stay locked until you save or cancel.

What you can do

  • Format text: Normal text, Heading 1 to Heading 4, Bold, Italic, Inline code, bulleted or numbered lists, Quote, Callout, Text color and Link.
  • Press Tab inside a list to nest an item under the previous one, and Shift+Tab to move it out one level.
  • Add blocks with the "+" button (Add block), before or after the current block: Text, Task list, Callout, Toggle, Toggle with heading, Table, Divider, Code and Image.
  • Reorder blocks by dragging the dotted handle.
  • Type @ to link a note, meeting, document, wiki article, project or service, company or contact.

Images show as thumbnails; click one to enlarge it and download it. While editing you can swap one for another with Replace.

A divider is a page break

In the PDF, a Divider jumps to a new page.

Very long documents

Saving a long document can take a few seconds. If you see "Notion is still applying the save", wait a moment and reload before editing again.

Attachments

If that tab is available, in Attachments you drag a file or click to upload it. It accepts images, PDF, Word, Excel, PowerPoint, Markdown, ZIP and HTML. You can rename or remove each file. Attachments are separate from the content, and your client can see them in the portal.
