How to edit a note: blocks, formatting and AI options
Notes in the Digital Garden are edited by blocks: every paragraph, heading, list, table or toggle is an independent block that you can change, move or delete.
Starting to edit
- Open the note and click Edit. While you edit, the button becomes Cancel and the note's other tabs are disabled.
- Click the block you want to change and type.
- When you're done, click Save (at the bottom).
The title is changed directly at the top and saves by itself when you leave the field or press Enter. The icon next to it (Change emoji) lets you choose the note's emoji.
The formatting bar
When you click a block, a bar appears next to it: Normal text, Heading 1 to Heading 4, Bold, Italic, Inline code, Bulleted list, Numbered list, Quote, Callout, Text color and Link. In lists, Tab nests an item under the previous one and Shift+Tab pulls it back out a level.
Adding, moving and deleting blocks
Next to each block there are three handles:
- + (Add block) — choose whether the new block goes ↑ Before or ↓ After, and its type: Text, Task list, Callout, Toggle, Toggle with heading, Table, Divider, Code, Image or New page.
- ⠿ — drag it to reorder the block.
- The trash can — deletes the block.
Toggles, callouts and tables are edited right here. On an image, Replace lets you upload another one in its place. And if you type @, you can link a note, meeting, document, wiki article, project or service, company or contact.
The AI button
Next to Edit there is the AI button, with two options:
- Improve the note's formatting — rewrites the layout (headings, paragraphs, lists) keeping all the information. It asks for confirmation, because it can't be undone from WorkOS, and it only works with notes of simple content.
- Turn into a publication — opens the new publication form with the note already cited, for you to complete. It only appears if your account has the Posts section.
If neither option can be applied to the open note, the button isn't shown.
Other actions
The header also has Mark as favorite, Delete note (with confirmation) and Open in Notion.
Tip: if you can only view a note and not edit it, it's because you are neither its Owner nor a Member.
