Publication statuses and what each one means

Every publication has a Status, visible on its card and in the list. It tells you where the publication stands and, in some cases, it's what triggers an automatic action. The names may differ if your administrator customized them; these are the usual ones.

The statuses, in order

  • Planned — the idea is noted down, but you haven't asked for it to be written yet. The Write with AI button appears, but it stays disabled until you add its Research.
  • Ready to write — the AI is drafting the post from the Research. You can't edit the text in the meantime.
  • In review — the post is drafted (by the AI or by you) and waiting for your approval. This is where the Schedule post button appears.
  • Publishing — you've given the green light: WorkOS sends it and schedules it on the network for its date.
  • Scheduled — it's already in the social network's queue, waiting for its date. The Cancel publication button removes it from the schedule and puts it back in In review.
  • Completed — it has been published. From here you can no longer change the status or the date.

If something fails when publishing (for example, a disconnected account), the publication is marked Not published.

How to change the status

On the publication's card, next to Status, you can use the selector or the quick-action button next to it. Only the button that fits the current status is offered: Write with AI, Schedule post or Cancel publication.

Three details worth knowing

  • While a publication is in Ready to write, the AI is working on it: wait for it to move to In review before editing the post.
  • A newsletter in Scheduled has its Post and Research in read-only mode. Cancel it first if you want to change them.
  • On Web articles, the Schedule post and Cancel publication buttons only appear if that article syncs with WordPress. Otherwise, Completed means "ready" and you mark it yourself.

Tip: if a scheduled publication no longer interests you, use Cancel publication instead of deleting it: you keep it in In review in case you want to pick it up again.
