Task statuses and dates: how they relate

Every task has a Status (for example, Today, In progress, Completed) and, if you want, a Date. Your administrator defines the statuses; you change them in three ways: with the Status selector in the detail view, by dragging the task to another group or column, or with Mark as completed.

When status and date go together

If your administrator has linked statuses to relative dates (Today, Tomorrow, This week, Next week), WorkOS keeps them consistent:

  • If you change the status to one of those, the date is adjusted to that period. If the date was already inside it, it isn't touched.
  • If you change the date, the task moves on its own to the status that fits. The same happens when you create a task.
  • If you remove the date, or it's later than next week, the task goes back to the default status.
  • If you move it to a status with no date of its own (other than the default status, In progress or a completed one), the date is cleared.
  • As days go by, WorkOS reviews tasks from time to time: one that was in "Tomorrow" moves to "Today" when its day arrives.

Tasks in In progress, completed tasks and discarded tasks don't move on their own.

If your account doesn't have this rule, status and date are independent: change each one separately.

Completing a task

Click Mark as completed in the detail view (or the complete button in the list). When you do:

  • It moves to the completed status and to the Completed tab.
  • If it had no date, today's date is set. If your account uses End date, it's also filled with today.
  • If its timer was running, it stops.

To undo it, change its Status again from the detail view.

Discarding and deleting

  • Discard task keeps the task saved but out of your active list. You'll see it in the Discarded tab. It only appears if your account has the "Discarded" status configured.
  • Delete task removes it from Notion, after confirmation. Use it only if you really don't need it.

Tip: if a task "jumps" columns without you touching it, it's almost always the date rule: check its Date.
