How to record a voice note with Kairos (Process Mode)

Process Mode is the fastest way to capture something: you say what you want and Kairos does one specific thing with it.

How to start

  1. Click the round red Kairos button: on a computer it is at the bottom right of the screen, and on your phone, just above the bottom bar. If you don't see it, ask your administrator to set up voice capture. You can also start from a section: for example Add → By voice in Posts, or New note → By voice in the Digital Garden. In that case Kairos already knows what you want to create.
  2. If you see the Agent Mode and Process Mode tabs, choose Process Mode.
  3. Tap the microphone (Tap to record), speak, and tap again (Tap to finish).

Kairos transcribes and processes in the background, so you can keep recording something else while it finishes.

What it can create

If you enter through the Kairos button without choosing anything, Kairos detects on its own what you've told it. These are the categories:

  • Task — creates one or several tasks.
  • Note — creates a note in the Digital Garden.
  • Publication — when you finish recording it asks for the network, the date and an optional attachment; then the AI drafts the post and leaves it in In review.
  • Email — opens the Review the email screen, with To, Subject and Message, so you can go over it and click Send. It only appears if you have Inbox.
  • Calendar — opens the Review the event screen; click Create event to add it. It only appears if you've set a voice word for one of your calendars in Settings → Integrations, and you have to say that word when you speak.

If Kairos doesn't understand what you wanted to capture, it tells you: try describing it differently, for example "remind me…" for a task or "send an email to…" for an email.

If you prefer to type

Click Switch to text interaction and type what you want to capture instead of speaking. Kairos treats it the same as if you had said it.

Adding context

Before recording you can attach an image or a PDF, and cite pages from your account (notes, documents, wiki…) so Kairos takes them into account. See the article "How to give Kairos context: citing pages and Skills".

Tip: speak in full sentences and mention names, dates and projects. The more specific you are, the less you'll have to fix afterwards.
