General AI instructions

You can write instructions that the WorkOS AI will always take into account when it writes something in your account: language, tone, style or format.

Where to set them

In Settings, card “General AI instructions”. Only people with the Owner role or with Technical administration permissions can see and change it. It allows up to 3000 characters.

Where they apply

  • Kairos, in the WorkOS chat.
  • Automatic processes that write new content: posts, email drafts and replies, titles and the other texts the AI generates.
  • Kairos in Claude or ChatGPT: the instructions are sent to the app when it connects. The app itself decides how to use them.

They apply to everyone in the account.

Format and style only

The instructions only change how the AI writes, never what it does. If they include any other order, such as creating or changing records, saving, copying or sharing information, the AI ignores it. Every change to these instructions is logged and the other Owners are notified by email.

They are a complement

  • If a process needs a fixed format (for example, a short answer or structured data), that format wins.
  • They do not change what each process does or its safety rules: anything that changes data still asks for your confirmation.
  • Processes that classify or transform existing content do not use them, so the content is not altered: translations, classifying emails and tasks, file imports, “Improve format”, audio transcription and reading delivery notes. Nor does the WorkOS help chat.

Kairos instructions

The “Kairos” card is still there for things that only make sense in the chat, for example how you want it to address you or how you prefer its answers. Kairos applies both: first the general ones, then its own.

  • “Do not use emojis in saved texts.”
