The «Team workload» panel on Home: hours per person, capacity and breakdown by company

At the bottom of Home, after «Overdue tasks», Owners, people with Technical administration permissions and Supervisors see the Team workload panel. It shows at a glance how many hours each person has in a week compared with how many they can give, and helps you share the work better. It only appears when Team mode is active in Tasks.

Who sees whom

  • Owner and Technical administration permissions: the whole team.
  • Supervisor: themselves and the people reporting to them (direct subordinates).
  • Member: does not see the panel (they have the rest of Home for their day).

Two versions

The selector at the top chooses which hours are shown:

  • Planned: the sum of the planned time of the tasks dated in that week. Tasks without planned time count as 0 h (the panel tells you how many). Completed tasks count too, because they already used capacity; discarded ones do not.
  • Worked: the sum of the time records of that week. A running timer counts until now, and a record that crosses midnight is split between both days. It requires time records to be linked to a Team member.

Move between weeks with the arrows, go back to the current one with Today, and refresh only this panel with the button on the right (the rest of Home is not reloaded). While it loads you see a skeleton; the panel is requested after the other blocks so it does not slow them down.

What it shows

  1. Summary: hours of the week, team capacity, how many people are overloaded and the company with most hours.
  2. Weekly workload per person: one bar per person with a vertical mark at their capacity. Green below 90%, amber between 90% and 100% («Watch») and red above 100% («Overloaded»).
  3. Workload per day: each day's hours against that person's daily hours, with the same colours. Saturday and Sunday only appear if someone has hours or capacity on those days.
  4. Breakdown of the week: per person, one card per CRM company (through each task's project). There are special cards: «No company» (project without a company), «No project» and «Private project». A private project you are not a member of adds hours to the person but does not show its name or company and cannot be moved.

A person without capacity set appears with their hours but without a percentage bar or status.

Setting each person's capacity

Capacity is the number of hours a person can work each day of the week. Only the people who administer the account (Owner and Technical administration permissions) set it: Settings › Team, open the person's card and fill in Weekly capacity. Tick the days they work and the hours for each (between 0 and 24, in quarter-hour steps). The Mon–Fri 8 h button fills in a typical week. It is saved with its own button.

Moving work between people (Planned version)

Drag a company card onto another person: the tasks of that company and that week that are still open are reassigned to that person. To postpone, drop it on the No date area: those tasks are left without a date and leave the week's calculation (the status only changes if a date rule applies, as usual).

  • Only tasks that are not completed or discarded, dated in the week shown and still belonging to the original person are moved. If someone else moved them first, they are skipped.
  • You need permission on each task: Owner and Technical administration permissions, always; a Supervisor, on their subordinates' tasks (to them or to themselves; also to other Supervisors if they can assign them). Who you can assign to follows the same rules as changing a task's owner.
  • Tasks of private projects you cannot see are not moved.
  • When it finishes, a message summarises how many were moved and how many were skipped, with the reason.

In the Worked version the cards are informational only: what has already happened cannot be reassigned.
