Client profile: identification and compliance data

The Client profile gathers the identification and regulatory compliance data requested by MXA's "Client Profile" form: type of person, document, date of birth, address, occupation, source of funds, politically exposed person (PEP) status, partners, representatives and ultimate beneficial owners. It is available only if your account has the "Commercial information capture (MXA)" plugin enabled.

On the company record

  1. Open the company and go to the Client profile tab (shield icon).
  2. Choose Individual or Legal entity: the fields adapt to the type. If you switch type by mistake, what you wrote for the other type is not lost.
  3. Fill in what you have and press Save. You can save partially and come back later; the notice below tells you how many required fields are missing.

The profile holds identity documents and compliance data, so it is visible and editable only to people who manage companies and the person responsible for that company; the rest of the team does not see the tab. The company's own details (registered name, identification, address, phone, email, website and activities) are edited only by company managers, as in "Company details"; the company's responsible person sees them read-only. Annual income and its currency are for company managers only. The fields that already exist on the record (registered name, identification, address, phone, email, website, activities, income) are the same ones: if you change them here, they change there.

Saving from the record does not register the client's declaration: that only happens when the client confirms it in the portal.

When the client signs an offer

When an offer is signed in the Client portal, a second step appears: the client sees the data we already have for their company, completes what is missing and confirms with a declaration checkbox. If they close the window, a Complete my profile button stays on the signed document until the profile is complete.

  • Only the person who has just signed sees it, and only for the company the document belongs to.
  • Who confirmed, when and from which IP address is recorded.
  • If a declared detail is changed afterwards (for example from the company record), the declaration no longer applies and the client will have to confirm it again.
  • It is not an electronic signature and it is not part of the signed document: editing the profile does not change what was signed.
