What the Client portal is and how the recipient of a document uses it
When you share a document (a proposal, a contract, a report...) with someone outside your company, that person doesn't sign into WorkOS — they access a separate site called the Client portal.
How your client signs in
- They receive a link (by email, from the document itself, or you copy it to them by hand).
- They enter their email.
- They receive a single-use code by email (6 digits, valid for 10 minutes) — no password needed.
Once verified, their access stays open for 24 hours for any document they have permission for, without asking for another code. If they get it wrong 5 times, the code is locked and they need to request a new one.
If your client doesn't receive the code, the first thing to check is their spam/promotions folder; if it still doesn't arrive, contact whoever manages your account.
What they can do once inside
- View the document with your own branding (logo and colors).
- Download it with the Download PDF button — always generated in the same format, so it looks the same no matter which device it's opened from.
- Approve or sign it, if the document type requires it — this gets recorded with their name, the date/time and a verification reference.
- If you have legal terms and conditions configured, they'll need to accept them before they can approve or sign.
- If they enter without going straight to a specific document, they first see a Desktop with the documents available to them.
On the WorkOS side (your team)
From a document's detail page you can:
- Click Share with client to send the link by email to the linked contacts, or simply copy the link.
- Click Download PDF yourself, without going through the portal.
- See what status it's in — whether it's already been viewed, approved or signed.
Each document type (configurable) decides whether it requires a signature, approval, both, or neither.
