Who can edit a task: assignee, participants and other users

Anyone can open a task and view it read-only. What they can change depends on their level in that specific task:

  • Owner and Technical contact — can do everything in any task.
  • The task's assignee — can change everything (title, status, type, dates, day theme, project, assignee, participants and content), complete, discard and delete it. They cannot rename or delete attachments.
  • Participant — edits the content, comments, adds attachments and logs their own time. They see the rest (assignee, dates, status, theme, participants) read-only. In the footer they only see Save: they cannot complete, discard or delete the task.
  • Any other user — only views the task and can add comments. They cannot attach files or change anything.

Every task must have an assignee: it cannot be created without one or emptied later, only reassigned. Older tasks that still have none are edited only by the Owner and the Technical contacts, who see the "No assignee" scope and assign one; for everyone else they are read-only, with comments.

Who you can assign a task to

If you are the task's assignee and the administrator has turned on "Allow Supervisors to create projects and services", you can assign it to anyone on the team. With the option off, only to yourself or the people who report to you. The Owner and the Technical contacts can always assign it to anyone.

The Supervisor and their team's tasks

A Supervisor sees the tasks of the people who report to them read-only and can comment on them. They can only change the assignee, and only to themselves or someone who reports to them. To fully edit them, they must be a participant of the task.

Time, person by person

Each person edits and deletes only their own time records, including the Owner and the Technical contacts. Someone who can only read the task sees the records but cannot start the timer.

Kairos and the Claude or ChatGPT connector follow the same rules, because they always act with your permissions.
