Who sees what: owners, participants and Team privacy
What you see in WorkOS depends on your role and on what you're linked to in each item. These are the rules for each section.
Tasks, Projects and Agenda
They're filtered by owner and participant: by default you see what's assigned to you, and with Where I participate you also see what you share with others. The Owner sees the rest in From others, and a Supervisor sees their direct reports' tasks in My team. The details are in the article about the "My tasks", "Where I participate" and "From others" scopes.
Documents
If your account has the document owner and participants properties set up, you'll see the tabs My documents, Where I participate and From others (the last one only for the account Owner). A Supervisor also sees My team, with the documents of their direct reports. If they aren't set up, everyone sees all the documents.
Notes and Wiki
Each note or article can be restricted to certain people (Team in notes, Members in the Wiki) or marked as Shared so the whole team sees it. An item with no people assigned and not marked as shared is visible to nobody, and WorkOS won't let you remove the last person without marking it as shared first. Notes you create by voice or from an email are assigned to you automatically.
Inbox
If your account uses Team, each person only sees their own emails and conversations: those of the accounts they connected. A shared account (for example, info@yourcompany.com) can be assigned to a specific person from Settings → Integrations, in that account's Team member field.
Posts
Each person sees their own posts. Posts on company channels (LinkedIn company page, Newsletter, Web and WordPress) and those with no owner are only seen by the account Owner and by people with the "Manage company" permission, which the platform administrator assigns.
The key: linking each person to their record
All of this works because each person in your account is linked to their record in Team. That's why, when you add someone new, WorkOS creates both things at once. See the article "How to add and manage the people on your team".
