Assignees, participants and project of a task
A task can have one person in charge, others who collaborate, and a project it belongs to. Everything is adjusted from its detail view.
Assignee
This is the person mainly in charge. When you create a task by hand, the Assignee field starts with your name and has a search box. In the detail view, change the assignee with its selector, or choose No assignee.
Who you can assign to depends on your role:
- Owner or Technical contact: any person on the team.
- Supervisor: yourself and your direct reports.
- Any other role: only yourself.
The selector only offers the people you can assign to. Also, the assignee selector is only editable if your account has the Team base linked to Tasks; otherwise you'll see the name as read-only.
Participants
A participant collaborates on the task without being its assignee. Open the Participants tab in the detail view to see who takes part, add someone or remove them. People who participate see that task in their Where I participate scope. The tab only appears if your account has the participants relation configured.
Project or service
In the Project or service field you choose which project the task belongs to; it's optional and you can choose No project or service. The selector has a search box. When you create a task only active projects appear; in the detail view all of them show up, including closed ones, so no history is lost. The Go to project or service button takes you to its detail view, where the task appears in its tasks tab.
Meetings and emails
- In an Agenda event's detail, if a task was created from it, the Linked task link appears.
- Tasks generated from a meeting take that meeting's project (if the meeting has one) and appear in that project's Task list tab.
- If the task came from an email, its Linked message tab opens that message.
Tip: to see all of a client's tasks, open their project and look at the tasks tab: they're gathered there, with their own board and calendar.
