How to set up a Supervisor and their direct reports
A Supervisor is a person who sees the tasks of those who report directly to them (their direct reports). It's useful for following a team's work without being the account Owner.
What a Supervisor gets
- In Tasks, a My team tab appears, with the tasks of their direct reports.
- They can view them but not modify them, unless they also participate in that task.
- When creating a task, they can only assign it to themselves or to one of their direct reports.
- In Documents there's also a My team tab, with the documents of their direct reports (view only, unless they are the owner or a participant of that document). Only if your account has the document owner set up.
The My team tab only appears if the person has the Supervisor role.
Before you start
- The person must have a WorkOS user linked to their Team record (see the article "How to add and manage the people on your team").
- A Technical contact must have set up the Direct reports property of the Team database in Notion databases. If it isn't set up, the direct reports section doesn't appear.
How to set it up
The Owner or a Technical contact can do it.
- Go to Settings → Team and click the person's row.
- Under Role, choose Supervisor and click Save.
- Open their record again: you'll see the Direct reports section.
- Click + Add direct report and choose each person. To remove someone, use the X on their tag.
Each direct report is saved immediately, without clicking Save. The Direct reports section only appears when editing a person who already exists, not when creating one.
In the Team list, each Supervisor shows how many direct reports they have.
Tip: the role names (Member, Supervisor) may be customized in your account, so you may see them under a different name.
