How tasks are created automatically from a meeting

If new tasks show up after a meeting that you didn't create yourself, WorkOS has extracted them from the meeting itself. Here is how it works.

When it kicks in

Your administrator chooses a trigger status for meetings (for example, "Recorded"). When a meeting moves to that status, WorkOS reads all of its content and artificial intelligence looks for the tasks that are still pending. You can also change the meeting's Status yourself from its detail page.

What it creates

For every commitment it detects, it creates a task in your Tasks base with:

  • Title — a short statement, usually starting with a verb.
  • Date — if a deadline is mentioned in the meeting ("on Friday", "next week"), it works it out from today. If nothing is said, it stays empty.
  • Assignee — if a person is named, the task is assigned to them. If not, it stays without an assignee.
  • Task type — if your account uses types, it picks the one that fits best.
  • Project — the AI doesn't decide this: the task inherits the project linked to the meeting.

Tasks that already appear as done (checked boxes or crossed-out text) are ignored: only pending ones are created. No date or assignee is made up.

Depending on how your administrator has set it up, either all of the meeting's pending tasks are created or only those of a specific person.

After they are created

  • The meeting is processed only once: even if you change its status again, the tasks are not duplicated.
  • In the list the meeting is highlighted and shows the number of tasks created (hover over it to see "Processed · tasks detected").
  • The Tasks tab of the detail page shows them with title, assignee and date.
  • If you change the meeting's date or time, the tasks already created update their date.
  • Depending on the setup, the meeting can move by itself to a completed status.

Common problems

  • No task was created — the meeting may have no content or nothing pending in it.
  • The Tasks tab asks you to set up a relation — whoever administers your account has to link Meetings with Tasks in "Databases".

Tip: always review the tasks created by the AI. If one isn't right, edit or delete it like any other task.
