The Tasks views: Pending, Kanban, Calendar and more

In Tasks, below the scope filter (My tasks, Where I participate…), there's a row of tabs. They all work with the same tasks, but organize them differently.

The tabs

  • Pending — your uncompleted tasks that have a date, in one group per status and sorted by date (those without a date are in «No date»). Each group shows 20 tasks; click Load more to see the rest. On a computer you can drag a task to another group to change its status. In "My tasks", if you have themed days on and today has a theme, the group for the "today" status is split by theme (with its hours) and you can drag tasks from one theme to another. Each theme has its own "+" to create a task with that theme already chosen, and while dragging, today's themes appear right below the "In progress" group.
  • Kanban — a board with one column per status. Drag cards from one column to another and the change is saved instantly. It doesn't show completed tasks.
  • Calendar — each task on its day. Switch between Week (the default view) and Month, and drag a task to another day to change its date. Tasks without a date wait in a separate panel so you can drag them to the day you want, and completed ones appear dimmed on the day they were planned for. On a phone it's shown as a day-by-day list.
  • No date — only the tasks that have no date, grouped by status like Pending and with its own selection of visible statuses. As soon as a task gets a date, it stops showing here.
  • Overdue — uncompleted tasks whose date has already passed, oldest first.
  • Completed — what you've already finished, grouped by day. If your account uses End date, a Late or Early badge shows whether you completed it after or before the planned date.
  • Discarded — the ones you discarded, grouped by month. It only appears if your account has the "Discarded" status configured.

Duplicating a task

The Duplicate button (two overlapping sheets) sits next to each task in every view that shows tasks: the Tasks tabs, a project's tasks, the Agenda calendar and the lists on Home. In calendars, the icon appears when you hover over the task. It is also at the bottom of the task panel.

When you press it you choose the date of the new task (required) and, if you want, a different owner and project or service (by default the same as the original; if you can no longer assign tasks to that person, the owner is left unselected and you must pick someone else). The copy has the same properties (title, owner, participants, project, type, catalog task type, priority and planned time), the same content (you can untick Copy the task content; the new task then starts from the default template) and the same attachments, but not the status: the date decides it, just like when you create a new task. Comments and time records are not copied, and you become the creator of the copy.

Who can duplicate: the Owner and anyone with technical administration permissions, any task they can see; a Supervisor, their own tasks, those of the people in their team and those they created; a Member, only their own.

Customizing what you see

  • In Pending, No date and Kanban, the Visible statuses tab of Tasks settings (the gear button) lets you pick the view and check which statuses you want to see and drag them to reorder. It's a personal preference: it doesn't change what others see. If you check none, all are shown. The tab is only available to the Owner, people with Technical administration permissions and Supervisors; people with the Member role don't see it.
  • In the Calendar, the Calendar options icon lets you tick Hide weekends to see only Monday to Friday.

Searching

Above the list there's a title search box (not in the Calendar). In Pending, No date, Overdue and Completed it searches among all your tasks, not just the ones already on screen.

If a task is linked to a calendar event with a start time, that time (with a small clock) shows in its row, just like in the calendar.

Reloading

If you've changed something elsewhere, click Reload tasks to bring the data up to date.

Assignment board. Anyone who can distribute work sees one more scope, Assignment board: a column per person (and "No owner") where you drag tasks to reassign them. The Owner and people with Technical administration permissions see the whole team's board; the Supervisor sees their team's. There are no view tabs inside it: just the board.

Tip: the scopes at the top (My tasks, Where I participate, From others) filter the tabs at once. If a task doesn't show up where you expect it, first try changing the scope.

Tasks calendar: "No date" column, event times and theme of the day

  • Tasks linked to a calendar event with a time show the event's start time in the calendar (week, month and mobile).
  • The No date column can be filtered by status and by project; the project selector has a search box (also by the linked company) and the options "All projects" and "No project".
  • In every view, each task shows the company its project is linked to, under the project.
  • With themed days on, a task with a date has a Theme of the day selector in its panel. The end date is in the time records tab, above the list.

Color by task type

Every task that has a type is shown with a soft gradient of that type's color in the List, the Kanban and the Calendar; tasks without a type stay white. The info button (next to the gear) shows the legend with each type's color and description.

The gear button opens Tasks settings. The Preferences tab has the usual options (hide weekends in the calendar and the themed days) and the Visible statuses tab gathers the status selection for Pending, Kanban and No date. If you are the account Owner, the Task types tab lets you change each type's color and order, create new types and delete the ones you don't use. Types cannot be renamed. Each type accepts a short description: it helps the AI (Kairos, voice dictation, meetings, and Claude or ChatGPT) choose the right type for a task.
